How to Import Accounting Data from Excel to QuickBooks Online
Transferring Customers, Vendors, Products/Services
- 1. Go to File menu > Utilities > Import > Excel Files.
- 2. If you get an "Add/edit multiple list entries" window, click No.
- 3. Once the importing wizard opens, choose the type of data.
- 4. Enter the information in a QuickBooks formatted spreadsheet, hit save, and close.
- 5. Click on Add my data now.
- 6. Review results, view data in QuickBooks, and click Close when done.
Importing Chart of Accounts
- 1. Go to Lists and choose Chart of Accounts.
- 2. Click the Account drop-down at the bottom and choose Import from Excel.
- 3. Click Browse and select the Excel file you wish to import.
- 4. Choose the file, click Open, and select the spreadsheet with your Chart of Accounts data.
- 5. Map your accounts – match Excel data to QuickBooks columns. Type mapping name, select account type, match column headings, then click Save.
- 6. Click Save and Yes to confirm and complete the process.

Important Workarounds & Considerations
- Sub Accounts: Become Independent Accounts in QBO
- Inactive Accounts: Convert to Active if used during conversion period
- Open Invoices/Bills: Must have single line showing unpaid balance
- Custom Sales Tax: Converted with "Tax Adjustment" line item
- Inter Bank Transfers: Converted via Clearing Account
- Inventory: Imported as non-inventory; manually change type and add quantities
- Multi-Currency: QBO uses same exchange rate for all accounts on conversion date
- Rounding: May differ due to data precision techniques
- Reference Numbers: Truncated to 20 characters; duplicates made unique
- AR/AP Reports: Year-end matches; monthly may differ (FIFO method)
Multi-Currency Considerations
- Multi-currency transactions brought over in same currency and exchange rate as in Excel.
- Total Accounts Receivable/Payable in QBO may not exactly equal Excel totals due to different exchange rates used.
